Today we’d like to introduce a handy improvement that helps you easily weave tasks and projects into the context of other assignments. Now when you paste the task link into another task description or the comment field, it will automatically appear as the task name. For instance, let’s say you want a designer to create a new mockup for the trade show, using the same outline she used the previous year. You simply insert the link to that task, and she understands the context of the assignment in one glance without even following the link to check what you are referring to.  At the same time, if she needs to refresh her memory of the task details, she only needs one click to open it.  Besides the title, the task status is reflected too. If the task has been completed already, the appropriate icon will appear next to the task name. In the same easy way, you can insert links to whole projects, as well. If the folders have color coding, you will see an icon of the appropriate color together with the folder name. See how neat it looks in the screenshot. This feature is particularly helpful when you need to cross-link several tasks or projects. As your project team will instantly see the titles, instead of links, there will be no confusion among multiple similar-looking URLs and no need to browse every single one in order to understand what the new assignment is about. This small, yet helpful feature makes it easy for you and your project team to put together the full context of a particular assignment. Just one more thing before you try this feature in action – make sure that the tasks or folders you refer to are already shared with the assignees of the current task.

Emailing tasks into the required folder is now as easy as 1-2-3 There’s the good old way to email tasks into a particular folder by putting its name into the subject line, but what if there are several folders with the same name? To prevent any confusion or mistakes when emailing tasks, you can now use the folder’s unique ID number. Are you wondering how you will know the ID number? This is easy – go to “Folder info” and click on the permalink right above the folder name. Once you have the number, you can create tasks in this folder just by sending an email to [email protected], where 123 is the folder ID. If you add the folders that you use most often to your contact book, the process will be simplified to choosing a recipient. Add comments to tasks while skipping the “Re:” step Imagine the situation: you need to send an e-mail to your client and at the same time save it as an update to a task. In case you don’t want to confuse him with a long e-mail subject with brackets and other specific syntax, simply add [email protected] as a CC to your e-mail!  To obtain the task ID, just copy it from the “Permalink” on the top left of the task pane. You then add the ID number into the address line, write your comments in the body of the email, and that is it! No need to dig deep into your inbox for a particular task notification in order to reply! We have developed a Timeline, which is mostly known as a Gantt Chart. Now you can: - have the big picture of parallel projects, - track the work load of your team members, and - create elegantly designed outlines of plans. All these tasks are a huge challenge when using other online project management and collaboration tools, aren’t they? Here is a short demo for you. Some technical details. The red flag marks the due date, and the floating bar chart represents the task duration. So you can easily drag a bar and thus change the start date of a task. To change the task duration, you only need to pull the bar’s borders. The red flag - the due date – keeps you from accidentally overstepping the deadline and doesn’t allow the bar chart to move outside of it.

Notifications have become much more intelligent

We are happy to tell you that now you can customize the notifications that you receive. If you are overwhelmed with the notification e-mails, you can switch to a daily digest, instead of immediate delivery, by going to the Account section (My Profile tab). We have also changed the default notification criteria. Starting today, by default you will only receive notifications about the tasks that you have created or the tasks assigned to you. Before today, you were receiving notifications about changes in every shared item. Of course, sometimes you want to keep an eye on projects more attentively. You can modify your commitment within each folder: open the folder to edit and change e-mail notifications to “All.” Notice that every subfolder inherits the settings, and you receive the same type of notifications within them, as well. Ever receive a comment on a Wrike task and wonder: "Who is this person? Which department is he in?" Clicking on the user's name gives you a popup showing the user's full name, email address, and enlarged photo. Now, you can gather even more info with our enhanced User Business Cards so you know exactly who you're working with. Every new user profile has three extra information fields for: telephone number, geographical location, and job title. They give you a more complete picture of who the user is in your organization. It also makes it easier to pick up the phone and call your colleague to say: "Great job on that deliverable!" User Business Cards appear when your cursor hovers over a profile photo or username. It's one more way to bring your team members closer together so they can collaborate smoothly. What to Do: 1. Go to your profile. 2. Fill in the new fields: telephone number, location, and job title. 3. Click "save changes" and you're good to go. Collaborators and external users won't have access to the new business cards fields so your contact info stays internal.

With the new Starred section, your favorite folders and projects are always just a click away. How to Add Folders to Starred When you hover over a folder, you'll see a star icon appear on the right. Click it and the folder will be added to the "Starred" section on top of your folder tree (in much the same way you add a task to "My Work"). Now, no matter how many folders you have in your account, you'll have instant access to the ones you use most often. Save time searching for key work items by keeping them "Starred!" Today, we want to share some special hints on filtering your tasks in Wrike to make sure you always have the portion of data you need at your fingertips. Here are 5 powerful ways to use filters when planning things and tracking work progress. 1. Keep control of the tasks due this week. When the project is scheduled and is on its track, it’s important to be in the loop of what your team is currently working on. For this purpose, one of the handy options is monitoring the tasks to complete in the short term each week. This gives you and your team an accurate picture of what needs to be done and makes it easier for you to check on the ongoing tasks. You also can filter the list to see the tasks of particular team members. How to create the report: 1. Under “Tasks to do” in the filter panel, check the box “This week.” 2. Under “Assigned” in the filter panel, check the names of the particular assignees. If you’d like to have a short meeting with your team to discuss the tasks they’ll be working on, it might be handy for you to have a print copy of the task list. Click “Export” to create an Excel file and print the report for the meeting. If your meeting is virtual, it’s even easier to distribute the report.  You just need to share its URL with your team. You will all have the same plan in front of your eyes, and if you make some changes, they’ll appear in real time. 2. Check out your team’s weekly results. A week is a perfect time frame to evaluate your team’s performance. It’s long enough to see noticeable results and short enough to adjust things if something goes not as expected. Create a performance report at the end of each week to evaluate team members’ productivity and make sure there are no stumbling blocks in the way of your project. How to create the report: 1. Choose folder -> Press “Show Descendants” button 2. Filter panel -> Completed on -> This week You will see the results for the current week according to the first day of the week that you’ve set in your account settings. You can see the total number of tasks completed during the given period in the right-hand bottom corner of your workspace. To see the most important tasks at the top of the list, sort them by importance. If you need to share this data with your superior, provide him or her with the report link right from the browser address bar. 3. Adjust schedule hitches. If things go off schedule, you should be the first one to know. To prevent serious delays, it’s helpful to constantly monitor the overdue tasks across your project to be able to tweak the schedule quickly enough.  How to create the report: 1. Click on the folder name. 2. Filter panel -> Tasks to do -> Overdue. To have this data always at your fingertips, you can add the report to your dashboard by pressing the “Add to dashboard” button. 4. Overview important events. You most likely want to make sure that everything is prepared in advance for important things on your roadmap, like your next release or an approaching event. Create milestones for important stages of your project and monitor them for the upcoming month. How to create the report: 1. Filter panel -> Advanced filters -> Task type -> Milestone. 2. Filter panel -> Tasks to do -> This month/this week. 5. Pick up valuable ideas and bring them to life. If you log every idea into Wrike, it helps you better focus on important things that you can take advantage of now. What is more, during a calm period, it’s easy to look through the unassigned, backlogged tasks in the system and pull out the most valuable ones to work on them further. How to create the report: 1. Filter panel -> Assigned -> Unassigned. 2. Filter panel -> Advanced filters -> Task type -> Backlogged. Extra tip:    When you filter tasks and create reports, don’t forget that there’s also the sorting feature at your service. For your convenience, you can sort tasks by importance, due date or priority, and the sorting order will be automatically saved for this task list. 3 Wrike Design Improvements That Will Save You Time

We strive to make your day-to-day work in Wrike as efficient as possible. Not only with big feature releases, but also the small improvements to save you time each day.  Here are three enhancements that will make your work faster: 1. Comment field stays at the bottom of the task view In a similar way, the comment field will always stay at the bottom of your screen regardless of which part of the task you're viewing. This should make it easier to comment on many parts of a  long task description. 2. Stream adapted for large screens The new Activity Stream layout has been adapted for large screens and ensures that more information fits on one page, so it's easier to read through for everyone. 3. Unfollow tasks directly from the Activity Stream Quickly unfollowing tasks you're no longer interested in is now available while browsing the newsfeed. Remember, there are some tasks that you can't unfollow (e.g. tasks where you're an assignee), so if you try then you'll see a popup explaining the reason. Keep an eye out for more updates! Drag Milestones to Easily Shift Your Project Schedule

Life interferes with even the most perfect project plans, so sometimes you may need to adjust the team's schedule. With our recent Timeline update, you now can shift a project's deadline and all attached project tasks will be rescheduled correspondingly, saving you time on manual task-by-task changes. To shift your project schedule, just drag the milestone while holding SHIFT. You'll see the special arrow icon indicating that you're shifting the entire dependency string. As you drag a milestone forward or backward, all dependent tasks will be rescheduled correspondingly. The changes only affect active tasks in your project, so all completed tasks will still maintain their original dates on the Timeline. By the way, you probably noticed that tasks on the Timeline now have multiple colors. That's because we added Custom Workflows to this view as well so Enterprise customers now can quickly grasp the status of task. This new, simple trick will save you time and keep your plans up-to-date with minimal effort.

Interestingly enough, the calendar week starts on Sundays in North America, on Saturdays in many Arabic countries and Mondays in the rest of the world. So no matter where you are from, now you can see the calendars and timelines in Wrike in the way that’s most common for you. The first week day will apply to: - calendar date-pickers when scheduling tasks, - the view of business days and weekends on your Gantt chart, and - the timeline in the workload view.  To configure your calendar format, change your profile settings: 1. Click on your name in the right-hand corner of Wrike’s workspace. 2. Go to your profile. 3. And configure the week’s starting day to your needs, whether it’s Saturday, Sunday or Monday. Even if your week seems to never end, thus it has no start, cheer up and try out this new tweak in Wrike!

Besides project discussions, another feature often asked for by many of our users--estimation of task duration in hours--is now live in Wrike project management platform. To help you build a more precise schedule, we’ve added the ability to set task duration to minutes (1). Examples of valid entries in the duration field: "2h 30 m", "5d", "3h",  "15m". In other words, you can use the following format to set tasks’ duration: "3d 4h 5m". The task duration feature allows you to enter the correct number of days, hours and minutes or to remove unnecessary parameters. If you enter a fractional number of days, like "0.5d" Wrike will turn it into "4h" to represent half of the working day. If you enter a fractional number of hours or minutes, Wrike will round it to the nearest whole number.

Besides Wrike’s new, cost-effective pricing model, you will also be pleased with the enhanced Wrike’s user management engine. 1. The new engine lets you have many user administrators in one account (1).  User administrators can create new users (2) in the account, as well as redistribute subscriptions and additional features among the users (3), but they cannot make purchases or project billing changes. All purchases can be made by the account billing administrator – the person who subscribed to a Wrike trial on wrike.com and then entered credit card information to continue using the service after the trial. The project billing administrator also has all privileges of user administrators. 2. The new engine allows administrators to have more control over users. For example, administrators can instantly delete users. If administrator removes a user, the user account is instantly deleted with all user’s information, including tasks and attachments created by the user. 3. The new engine supports a long-requested feature: If you accidentally or deliberately included some person in your email correspondence and CCed wrike at wrike.com, the user is not automatically invited by Wrike. Instead, the person’s name goes to the administrators' user management tab marked as a “user awaiting invitation” (1). And it’s up to administrators if and when to invite the person to Wrike (2). 4. Finally, storage space was increased up to 5GB per user on the new subscriptions. All features described above are tied into new subscriptions, so if you are subscribed to an old plan and like the feature, you need to upgrade. It’s always great to know how many different and interesting use cases of Wrike implementation are there in your organizations. But could you imagine that Wrike might serve not only as your irreplaceable assistant in task and project management, but also as a librarian? With a sizeable collection of books in the office, it may be rather difficult to keep them classified and track their availability. One of our customers, Tisso Naturprodukte, who has a large office library with the latest publications in biology and natural medicine, handled this challenge with Wrike’s help. Keeping the books’ statuses up-to-date has become way easier and more accurate. Here’s how exactly they made it happen: Creating an online catalogue The team at Tisso Naturprodukte logs all books from their office collection into the “Library” folder as completed tasks. This way, the library catalogue can be instantly accessed by everyone, but at the same time, these tasks don’t clutter the dashboard or the to-do lists as action items. Just like in online book stores, the team organizes dozens of items by tagging them with topics. There’s a special subfolder with different categories that can be dragged onto the appropriate tasks. So whether someone’s looking for a new read in chemistry or a popular book on biology, it’s really easy to spot the right one. Searching for a particular book In every book’s description, Tisso’s team members enter the most important details. So in addition to the thematic tags, it’s convenient to search books by a particular word in its title or description. Also, to make it easy to physically find the right book, they all are tagged with the number of the stand they’re on. Isn’t that smart? Tracking library items Tracking library items is basically as simple as tracking tasks. There’s a simple rule: Whenever someone on the team borrows a book, he or she should mark the task as active, assign it to himself or herself and set a due date when he or she expects to return the book. When the book is returned, the same team member marks the task as completed, and everyone can see the new status indicating that the book is available again. If someone on the team wants to recommend a book to a particular colleague, he or she leaves a comment in the task’s Activity Stream, using @username. With such a skilled “librarian” as Wrike, it has become really easy for Tisso’s team to keep their office library in perfect order. How You Can Email a Task into a Subfolder

We are often asked ask about how to email a task into the hierarchy in the Wrike workspace. There is a very simple way, which some of our users intuitively use. If you want to email a task into a subfolder with the unique name, you can simply add the folder's name to the subject line of your email. If there are several different folders with the same name in different parts of your Wrike workspace, you will need to provide a complete path to the subfolder.
