Track time spent on your tasks in Wrike

The time-tracking feature is now released in Wrike, the project management software. We have received many inquiries from our users about ability to track time in Wrike, so we decided to implement this feature. Professional services providers, companies that work with freelancers, implement hourly pay, or have many projects and employees — all of you will find great value in the time tracking feature. Besides time tracking, Wrike offers a powerful platform for collaboration, task organization, task management, reports across diverse projects, Gantt charts, e-mail integration and smart notifications — all in one user workspace. Time-tracking is an essential part of increasing the productivity of your team. Time-tracking helps you keep track of the hours spent on a task or a project and evaluate the effectiveness of your employees. Your team members now can add time entries to tasks easily. They just open the task to edit, choose the date and enter number of hours spent on the task. Then you can create time reports for projects and track the workload of your team members. You can export reports to CSV file format, print and provide them to clients.

Improvements in User Interface: Fields for Sorting

The value of columns is always displayed now. Previously, this value was hidden to give you more space for the list of tasks. However, many users asked us to make this more visible. Now you can see at once by which status, responsible party, due date your tasks are sorted. I think the sorting interface is very convenient now, isn't it? As for sorting by the due date, you can choose three options: display tasks that are due on the exact date, earlier or a later date. For this, you choose the sign: = < or > accordingly. If you want to work on all tasks that are due before your vacations, on February 28, you can do that easily. You choose the sign < and the due date: February 28. Moreover, we added the ability to search tasks by their names within the concrete folder. You simply type the part of title and wait 2 seconds. The tasks that contain this combination of letters are shown. Then you can combine filtering criteria as before. This feature might be very useful if the only thing that you remember about the task is some keyword in the title. Works very well.

Keep Massive Sets of Data in Order with New Tables in Task Descriptions

Whether you need to create a conference guest list with all names and contacts, or some kind of a stats digest to share with your colleagues, there is probably no better way to put down this data than in a table format. If you feel this to be a familiar situation, we bet you’ll like our new feature. Now, as an alternative to attaching spreadsheets, you can create and edit tables right in the task descriptions. Whether you need to create a conference guest list with all names and contacts, or some kind of a stats digest to share with your colleagues, there is probably no better way to put down this data than in a table format. If you feel this to be a familiar situation, we bet you’ll like our new feature. Now, as an alternative to attaching spreadsheets, you can create and edit tables right in Wrike's task descriptions. Working with tables in tasks is simple and absolutely intuitive. Just a few details on how it all works: To create a table, click on the icon in the text editor toolbar of a task. When filling your newly created table with data, press ctrl+enter to move on to the next line in the same cell. You can easily copy one cell or a few cells: Select them, then drag and drop to where you want to paste them. As you put more data in your table, its size is adjusted automatically. When you reach the last row, a new one will be added automatically. This is particularly handy if you have a long list. The same will happen with columns. The tables built into Wrike's task descriptions are handy not only for keeping large sets of data in order, but also because they are collaborative. Thanks to Wrike’s Live editor, you can work on tables simultaneously with your teammates in real time. Our tables in task descriptions won’t handle advanced math formulas for you, but if you need to keep some complex data neatly organized, that’s the way to go.

Find Tasks Quickly, Right from the Dashboard

For many of you, the dashboard is the main staging ground where you track the most important tasks. And even if you prefer accessing your tasks by navigating to folders, the dashboard is still the first place you see when you log into Wrike. When things are moving fast, you need a quick access to particular task right from your starting point. And that's what this new feature brings. Now you can simply input the keywords and run a search right from the dashboard view. Wrike will then look through task and folder titles, task descriptions, even comments to present you with the closest-matching results. There are still several ways to search for a particular task in the system. You can click on the account name in your folder pane, choose "show descendants" and then search through the entire account. Or you can navigate to the precise folder where the task is located. But when you need to get to a task on the fly, searching from the dashboard is the way to go. The new feature truly brings search functionality to every corner of Wrike. And it speeds up your workflow, so you can get things done more efficiently!

New Way to Prioritize Your Tasks in Wrike

New Way to Prioritize Your Tasks in Wrike

Now you can set the priority of your e-mails, and your tasks in Wrike will be prioritized as well. Recently, we offered you the ability to create special folders for tasks with high priority, so that you have quick access to them. Wrike now helps you pay even more attention to high-priority tasks. Let me show you how it works. You create an e-mail, cc it to [email protected] and mark it as of high importance. For example in your outlook: The task is immediately created in your Wrike workspace and marked with the exclamation mark. The same applies to low-importance tasks. However, they are marked with the downward arrow. Then you can sort your tasks by their importance within the folder by clicking the grey arrow in the top panel (1). You can also work on tasks with one type of importance. To do so, you click the small letter under the top grey panel (2) and choose the appropriate priority. “A” means all types of importance, N-normal, L-low, H-high. It’s easy. Certainly, you can change the importance of the task. You simply double click the exclamation mark (downward arrow or empty field to the left from the task title) and update the priority level: Alternatively, you can click the “edit task” link and choose the priority that currently suits your task:

Global filter makes work much more pleasant

This wonderful feature has been recently brought back to life after the great changes in the user interface. Now you can search tasks and folders by the words that are contained in their titles. The filter works really fast (and we work on the performance of the other parts of the system). The temporary folder is created automatically for your search results. While working with the filtered tasks (by the status, the responsible and/or the due date) and changing tasks they may become colored in gray. This means that after the changes have been made, this task doesn't meet the parameters of filtering. I really recommend that you to try the search function to harness Wrike's potential.

Visual Guides for New Users: Getting Managers, Team Members, and Collaborators Up to Speed Quickly

As the number of Wrike's new users grows everyday, we want to ensure that every new user can pick up the key functionalities and hit the ground running as swiftly as possible. After all, the faster you learn how to use Wrike, the more efficiently you can collaborate with your team on all the tasks that need to get done. We put together three separate Quick Guides to Wrike -- for managers, for team members, and for collaborators -- to make it incredibly easy to begin using the tool. These easy-to-read visual manuals contain screenshots and tips to help you understand Wrike’s features according to your role within the team or project: A Quick Guide to Wrike for Managers teaches managers and team leaders how to master the tools for progress tracking, reporting, time tracking, planning, and workload allocation. If managers want to ensure the smooth adoption of Wrike among all stakeholders, we recommend they point their employees and collaborators to the other two manuals below. A Quick Guide to Wrike for Team Members introduces project members to the basics of the workspace and the different views, and includes tips on effectively collaborating on tasks, tracking individual work progress, and optimizing your dashboard widgets. A Quick Guide to Wrike for Collaborators gives collaborators a brief overview of the workspace, and an introduction to reporting on task progress as well as tracking work progress within Wrike. For further details on Wrike features described in the guides, such as the dashboard, search, filters, Gantt charts, and more, check the other adoption materials, visit our help section, or watch the video tutorials on Wrike TV.

How to use Wrike thanks to the ease of use of e-mail API

If you are a developer you might wonder whether Wrike is extensible via some type of API. As of now we do not expose SOAP or REST services, but we do have extensibility through e-mail. The example of how you can use it might be useful not only for developers, but for managers as well. Let’s say your web-site allows a user to fill a form and provide some feedback. This feedback is then e-mailed by the website to the representatives of your company. You can easily let these people automatically get the feedback logged into Wrike as a task. Simply extend your code (with one or two lines) and add [email protected] to the CC recipients of such messages. The representatives who get the e-mail can re-assign it to somebody, track its progress and harness the full power of Wrike.

Accurately Manage Your Backlog by Email and Table View

We finished 2010 with unveiling a couple of very helpful new project management features: the add-in for Outlook 2010 and the ability to export filtered task lists to Excel. In this post, we’ll introduce the first updates of 2011 that many of you were suggesting to Wrike’s support team. Whenever you get a valuable project idea that doesn’t have to be realized in a fixed timeframe, you can instantly add it to your project backlog in Wrike without even leaving your inbox. To create a backlogged task via email, add the tag [backlog] in the subject of the message that you send to [email protected]. It's important to have a reliable internet connection in case you need to access Wrike remotely, so be sure to have your instructions on how to check work email from home ready. If you want to create backlogged tasks often, Wrike project management software offers you another handy solution. You can simply adjust your account settings so that any email you send to Wrike without specifying a date turns into a backlogged task. To do so, click on the “Account” link in your project management workspace and go to the Personal profile tab. On that page, you can choose how you want Wrike to process emails with no date tags – either create one-day tasks for today, or add these tasks to the backlog. If you choose to create backlogged tasks by default, you can still add one-day tasks for today by adding the date to the email subject in the following format: MM/DD-MM/DD (or DD/MM-DD/MM if you have this date format set as the default in your account). Another significant addition to Wrike’s scheduling functionality is that backlogged tasks are now reflected in the table view, as well as the list view. The new column in the table view – duration – lets you get a more accurate picture of your plans. By the way, you can easily move the columns by dragging and dropping them to adjust the table view to your preferences. We hope these features will help you build agile plans and manage your tasks productively in 2011!

Quote Comments and Task Descriptions with a Click!

When we talk to people in person, it’s easy to clarify the details and explain your point instantly. Remote collaboration is a manageable challenge with real-time comments and updates in Wrike, but what if your team is separated by time zones? For example, while a worker from Europe is sleeping, his American colleagues might come up with long work discussions. How can you stay in context with your comments in such situations? If this is the case, you might often need to quote a particular fragment of a comment or the task description to make sure everyone understands what your response refers to. With today’s update, you can do this in just a click! When we talk to people in person, it’s easy to clarify the details and explain your point instantly. The fragment is automatically pasted into a new comment along with the time stamp and the author’s name. We hope this cool update will make your work in Wrike even more comfortable and easy!

Wrike and GitHub: Collaborative Coding Gets Much Easier with Wrike’s API

Wrike and GitHub: Collaborative Coding Gets Much Easier with Wrike’s API

Update 12/16/2014: We are happy to announce the release of our API v.3 with better functionality and feature support for developers. Unfortunately, this update means the integration with GitHub is no longer supported. You can still use Zapier to connect Wrike with GitHub. If you have any questions, please contact our Support team. Many software teams use services such as Github for collaborative coding. These services are a great help when it comes to sharing code repositories, collaborating on them together, and syncing developers’ efforts. However, project managers of teams using Github often don’t have special tools for keeping projects on track and reporting the progress. LiveNinja solved this problem with a single ninja throwing star: they combined Github’s social coding environment with Wrike’s strong project management features. With the help of Wrike’s API, they now automatically transfer every task they create in Github to Wrike, allowing them to organize their work in a more productive way. Let’s take a look at their smart solution! Two Tools, One Up-to-Date Picture LiveNinja builds and maintains a platform that allows users to find experts in any field - everything from cooking to law to graphic design. Despite daily stand-up meetings, maintaining transparency with a growing team soon became a real pain. Team members couldn’t quickly review up-to-date plans and couldn’t always keep track of current priorities in ever-growing Github task lists. Besides, there was no smooth way to sort overdue tasks or tasks completed during a certain time period. “At some point we realized that instead of a clear project picture, we just had a daunting list of never-ending issues,” says Emilio Cueto, Chief Technology Officer at LiveNinja. To get their work more organized, the team started using Wrike as it had all the features they needed. And in order to avoid the redundancy of logging tasks in both tools, they used the Wrike API to unite both tools. Now whenever someone creates a new task, adds a comment or completes the task at Github, the changes are automatically reflected in Wrike. How LiveNinja Benefits from the Integration Here’s how LiveNinja’s project management changed for the better after integrating Wrike and Github: 1. Easy prioritization of bugs and urgent issues Prior to integration, every new bug that was added to the already sizable list of bugs (each one needing to be fixed right away!) got labeled “Urgent,” “Priority,” or “Critical.” The list of all these urgent bugs had grown too big to handle in a standard list format within Github. After integration, LiveNinja now tags all issues according to their importance in Wrike (e.g. with standard labels P0, P1, and P2), and then prioritizes each list. This way, they have a clear understanding of which bug to tackle next. 2. Instant access to an up-to-date roadmap Wrike’s interactive timeline is irreplaceable for planning new features and important milestones. While the team’s manager creates dependencies between related tasks and quickly adjusts current plans, Wrike ensures the team is automatically notified about all changes. 3. Comprehensive insight into the team’s progress Custom reports are a great time saver for Emilio Cueto. They enable him to sort any data he needs for evaluating the team’s progress in mere seconds using filters such as: completion date, particular team member, or tag (e.g. browser version, particular feature, etc.). Suddenly, LiveNinja could look at their task list and Gantt charts and quickly find answers to questions such as: “Will this next release be on-time?” or “When is it feasible to start planning that new feature we have been talking about?” In a nutshell, the integration allowed developers and project managers to enjoy the best of both worlds: the code collaboration platform of Github and the project management tools of Wrike. Get the Code If the integration code sounds interesting to you, you can get the files here. LiveNinja is open to any improvements to the code suggested by other Wrike users. And if you decide to use it, don’t forget to send a thank-you tweet or a Facebook message mentioning #LiveNinjaDotCom. Thanks, LiveNinja, for sharing your code with the Wrike community and helping to make life better for other Github and Wrike users!

New Reports: Real-Time Insights with One Click

According to our 2015 Work Management Survey of over 1,400 office workers, the greatest cause of work-related stress is “missing information”; 52% of participants rank this as causing “high” or “very high” stress for them. What's more, almost half (46%) said most or all of their meetings were focused on just status updates. This lack of visibility not only causes stress for workers, but also leads to project failure and delays. On average, it costs companies over $100 million for every $1 billion spent on projects per year. But we believe it can be better! That's why we're so excited to bring you our newest feature: Wrike Reports. Instead of spending hours gathering data and crunching numbers, you can now just click a button to quickly visualize all work statuses and progress in easy-to-digest formats, giving you the visibility and insight you need to run your business. How Beta Clients Are Already Using Reports We've spent most of this year exploring, interviewing, and beta testing with clients just like you to find out what they're struggling with as they manage work. Interestingly, we found most people encounter the same challenges regardless of industry. People spend hours gathering info for status updates while managers still struggle to get the big picture view of where everything stands, what is going well, and what is at risk. "I need a simple report of how busy my team is, so I know where to schedule the next project" was a resounding call. So we set off to build Reports, an easy to use reporting engine that gives you the ability to create custom reports to get to the insights you need. Reports simplify the ability to instantly gather accurate, up-to-the-minute project status information, and then share that info with the people who need to take action. You are able to easily get to the big picture, and also drill down into the details when needed. Gone are the days of relying on infrequent, manually collected updates in order to know where work stands! Some of the most commonly used reports during the beta program were: Weekly Exec Update: Understand the number and status of projects by owner Team Performance: Compare the performance of individuals by key metrics Activity Reports: Understand how the team is using Wrike Accomplishments: Report on the work completed last week, month, or quarter Giving You Back An Entire Workday When reporting from a work management tool instead of manually collected updates, you can slice-and-dice the data to find insights that were previously inaccessible or took hours to reach. Since all your work is already in Wrike, you can start every day with a birds-eye view of what each person on your team is doing, where every project stands, and thus, where you need to jump in to assist. That brings real confidence in your team's performance. We found that by using real-time Reports, a typical marketing team of 10 can save at least 10-15 hours per week on status updates and account management work, effectively giving you back an entire workday. See a problem? Drill down to quickly find the cause. Need to see the status of all your projects at a glance? We've got you covered. Want to report on what the team accomplished last month? It's 3 simple steps to get real time status of your data in beautiful charts and graphs. Stay tuned for new charts and graphs coming soon! Wrike’s real-time reporting is now available to all Wrike Enterprise customers. Whether you're an expert or you've never touched Wrike at all, you can try out Reports for your team now by starting a free trial of Wrike Enterprise. We hope you enjoy working with Reports, and that they provide you even more visibility into work, save time, and help you make smarter and more informed decisions. We are always eager to hear your feedback — please leave your thoughts in the comments!
