Help your teams work smarter, not harder with Wrike's powerful platform
Here at Wrike, constant innovation and improvement are a way of life. That’s why we recently upgraded our older List view to a far more powerful Table view. This shift has brought significant change for our users and, while some embraced the new features right away, others needed a little time and support to adjust.
To find out how our community of 2.4 million people is adapting to the change, we spoke to a number of expert Wrike users in a variety of industries. They shared their real-life experiences as well as 10 practical tips you can use to help your team make a smooth and successful transition.
The most important tip our users shared? Start the conversation about the move to Table viewas soon as possible. Share updates, release notes, and training resources in team channels, meetings, and one-on-ones.
Communicate EARLY. I’ve been planting the seed that List view is going away since Wrike started beta-testing Table view updates. Every time there’s an enhancement or update, I share it. It’s also critical to update training documents too!

2. Leverage real-time demos and office hours
Like us, our users know the value of learning together. They recommend hosting live demos or “office hours” where Wrike experts can walk through Table View’s exciting new features and answer any questions colleagues might have.
We set up ‘office hours’ with those who were experts in Table view. This way, we can walk through the differences with them to reassure them that there is a new way to view their work. Also reminded them that change takes time!

Those who don’t use Table view yet were able to get sort of a real-time tutorial, as those who DO use Table view led meetings using Table view. It helped folks get comfortable with the change before adopting it themselves.
Don’t forget to remind your team that Table View works much like List View — except much better. It’s easy to navigate, offering an intuitive style and smooth functionality that allows for fast onboarding.
To help my team transition to Table view, I highlighted its benefits and ease of use. Since Table view follows the same logic as popular platforms, it feels intuitive and familiar, making the adjustment process smoother. I reassured my team that no features were lost — they can still mass edit and use filtering just as before ... The transition was smooth and natural, and it’s truly enhanced our workflows. My advice: embrace the improvements and don’t look back!
Switching to Table view was easy for us — many of our users already rely heavily on other tools that use a table format. Educating users on how to create their own custom Table views, showing only the columns they care about and grouping items by assignee or status, really helped everyone focus on what’s important to their workflow ... Table view is intuitive for sorting and organizing work, and the flexibility to show or hide columns as needed is super helpful.
Another top tip is to start small. Create a simplified Table view with minimal fields and columns to help users who prefer the old List view. You can even copy existing views to get new users started fast, while slowly building familiarity with Table view’s more advanced features.
Where needed, we created views using simplified versions of the Table view, with minimal fields and columns, resembling the List view. This helped a lot.

To ease the transition, I created and showcased several custom views tailored to our department’s workflow, such as Active Requests, Completed Requests, Gantt Charts, and task-specific tables. Demonstrating how these views could exist within the same folder — each with its own filters, fields, and layout — helped the team see Table view as a real upgrade, not just a replacement for List View. I used the ‘Copy existing views’ feature to set a baseline for everyone and encouraged further customization.

5. Showcase the power of filters and sorting
It’s a good idea to devote some time to demonstrating why Table view is better for everyone. The new filtering and sorting options are a game changer, offering users the chance to design a unique view that’ll deliver the insights they need, fast.
I LOVE the new updated filters. This sold the deal for everyone on the Table view for how easy it is to filter and sort information.

6. Encourage customization and personal views
You should also teach users how to toggle fields on and off, adjust column widths, and create personal views. It might take an extra couple of minutes, but it’s worth it, as it can help colleagues save lots of time and effort in the future.
Customize it to what works for YOU — leverage personal views if you don’t want to interfere with how others are viewing the location/work.

I recently showed a colleague how they could toggle the fields on/off and create their own custom view. They found this enormously helpful, as they were focused on a couple of specific metrics in two or three of our team’s custom fields, so they were able to turn those on and see those fields as soon as they opened the project. 7. Emphasize mass edit and bulk actions
Speaking of saving time, Table view’s mass edit features are a major upgrade. Our power users are thrilled with this new improvement and recommend you find new ways to make it work for you and your team.
The mass edit is so much better than List view. I was so worried about losing the simplicity of that with the new Table, but it is perfect — not to mention freezing columns, toggling fields, sharing the view, and more ... it just doesn’t stop with one thing being awesome!

8. Support users who need more guidance
Some users may find Table view overwhelming at first. It’s important you work with them to build custom views that narrow down the information to just what they need. That way, they can make this new view as simple or as complex as they need in just a few clicks.
For some, the Table view is a bit too much information; for most, they love it. The individuals who had a harder time adapting, we worked with them and taught them how to build custom views to help narrow down the noise.

9. Celebrate quick wins and share success stories
Some of the best advice we heard? Share stories of how Table view has improved workflows, saved time, or made project management easier. That way, you can learn together, finding new and better ways to get the most out of Wrike’s powerful tools.
Setting up a blueprint in Table view with the proper columns showing has made it a breeze to set up projects and have them go live quicker than ever. Being able to populate full columns easily makes quick work of having project changes reflect in associated tasks.

10. Acknowledge the learning curve — but encourage persistence
Change isn’t always easy. Remind your team that it’s normal to feel uncomfortable at first, but with a little patience, Table view will soon become second nature. It’s not a challenge, it’s an opportunity — for more productivity, improved efficiency, and an easier way to work.
Change takes time, and give yourself a few days to get used to it, fail at it, and adjust. You soon won’t even know the difference.
