SoFi Accelerates Collaboration Between Marketing, Creative, and Compliance Teams, Scaling Active Projects by 30% in Wrike

To support its rapid growth, SoFi needed to scale active marketing projects and brand assets, while maintaining current staffing.
Without a dedicated project manager to enforce deadlines across departments, teams relied on lengthy email threads to collaborate. These complicated, multi-threaded project conversations made it difficult to search for assets and deliverables, and it was unclear who was responsible for making sure each stage of delivery was completed on time.
The SoFi team decided to shift from email to a single project management solution, and researched multiple vendors to find the right software.
SoFi received proposals from Asana and a variety of other tools. Ultimately, Meg Ciarallo, VP of Brand Marketing, chose Wrike as the front-runner, primarily due to the ease and speed of implementation, and because it offered a tailored marketing solution that best fit the needs of its Marketing, Creative, and Compliance teams. As a finance company, tracking the compliance process for all marketing deliverables was a critical requirement.
Now that we have a workflow where Compliance can see all of their work in one place rather than disparate emails, it allows Marketing to follow up with them more easily.
SoFi wanted to optimize their process for asset development, setting up consistent steps that could be repeated and tracked.
SoFi wanted to increase the number of active marketing projects, without adding staff. To streamline processes, they wanted all client and project information easily searchable in a central location, saving time across the entire team.
With the implementation of Wrike, clear workflows were established to create and approve marketing assets, accelerating collaboration between marketing and creative teams and clarifying accountability for each task. "It makes workflow more focused and organized. This allows us to work more quickly." Nadia Last, Media Strategist, became the primary champion of Wrike at SoFi, managing the overall project flow and internal processes within Wrike.
The Marketing team’s work intake process was further optimized during implementation. The Creative team was fielding a large number of requests from Brand Management for a wide range of electronic and print materials, from digital ads and booth signage to podcasts, videos, radio placements, and more. To streamline the intake and prioritization process, the Marketing team now uses Wrike Requests to collect complete creative briefs for each asset. Seventy percent of projects are now pre-planned through creative briefs.
SoFi uses Wrike to capture changes, comments, and approvals inside files and within the complete task comment history. Users can clearly see statuses change from Edits Requested, to In Compliance Review, to Additional Information Requested, to Approved. "It has improved things, because if we sent email to compliance they would get overwhelmed. Now that we have a workflow where Compliance can see all of their work in one place rather than disparate emails, it allows Marketing to follow up with them more easily."
Flexible Organization by Department and Client
SoFi uses a hierarchical folder structure by department, storing projects by client name. Color-coding is used to visually distinguish projects by department.
Self-Service Knowledge Base
Leveraging Wrike as a single source of all work content empowers team members to find the status of any project, as well as assets or files, without asking questions. "If someone wants to find out the status of a project, they're able to go into Wrike and search for it vs. following up with the project manager directly, saving time," says Last.
Creative Briefs as Request Forms
A Creative Brief template was set up via Wrike Request Forms. As requests come in, Last uses project templates to save time and ensure a consistent process is followed for every project. She is able to quickly initiate new projects and assign tasks and deadlines across the Marketing, Creative and Compliance teams.
SoFi set a strict timeline for Compliance Reviews to be completed. Any changes to the timeline must be negotiated in advance, rather than changed by a team member.
Training & Onboarding Support
SoFi leveraged Wrike's Steven Kearney, Client Success Manager, to deliver professional training for each of their teams, and Ernesto Salinas and Jed Duso in Account Management to provide ongoing training to their teams. As a final stage of the deployment of Wrike at SoFi, Last created a handbook of how Wrike should be used at SoFi. "People are excited and happy that there is a clear process by which they can track a project," says Last. "Everyone really likes Wrike."
