Wrike’s frictionless integration with other ubiquitous tools you use in your work is one of the core things that make it so friendly and easy to use. According to the feedback that we receive from you, Outlook sync is a popular feature that many of you enjoy using. This week, we’ve enhanced it with a very important project management update – we’ve released a new version of the add-in for those of you who use the 64bit version of Outlook 2010. To download this add-in, simply click on the “Sync” link in your Wrike workspace and download the Outlook add-in from that page. After you’ve gone through the download and installation process, you’ll need to fill in your login information and adjust the sync settings between Outlook and Wrike: frequency, direction, etc. If you have any doubts, these help pages will guide you through the process step by step. Getting your tasks automatically synced between Outlook and Wrike will connect your work into one big picture. Thus, you’ll have a clear overview of your most important tasks in both apps at any time, which will make you more efficient in getting things done. Wrike always strives to keep all your work information connected. Which is why there is an ongoing effort to integrate it with all your favorite apps and project management automation tools. Meet our latest great integration: Zapier. Zapier is an action automation cloud tool that makes it easy and effortless to pass data between two separate apps. So effortless that once you set up your account you won't have to lift a finger! You create customizable actions that send information of your choosing from one app to another, freeing you from tedious housekeeping tasks. When paired with the productivity power of Wrike, it means one thing: you get your work done faster. Say you want every new reminder logged in Evernote to create a task in Wrike. You create a "Zap" in Zapier connecting the two. Zaps are automated processes made of two parts: a trigger and a resulting action. In this case, creating an Evernote reminder is the trigger, and creating a new task in Wrike is the action that occurs once the trigger is sensed by the system. Every new reminder automatically becomes a Wrike task, and you didn't even have to think about it. Or you could create a Zap wherein every new Google Calendar event automatically creates a task in Wrike, bypassing the need to go into Wrike and do it manually. It's all about convenience and saving time — which gets our thumbs up. Wrike's integration with Zapier even allows you to fine tune the details of the resulting action, for example: • Choose task type (planned, backlogged, or milestone) in order to differentiate urgent to-do items and goals from reference material. • Set the start and due date for tasks using expressions like "tomorrow" and "next week". If you create a Zap to transfer your support tickets or other date-sensitive tasks to Wrike, they'll be tackled in no time! • Add rich text task descriptions — say a new email is turned into a Wrike task, the text formatting will remain the same. • Select a subfolder so your automated tasks are housed by email sender, originating source, month created, and more. But if you're starting out, it may be more convenient to make use of one of the many Zaps that other users have created, and use one as a template for creating your own custom Zap. Step-by-Step Instructions for Using Zapier with Wrike: 1. Sign up or log into your Zapier account. 2. Click the "Make a New Zap" button. 3. Choose Wrike as the trigger or action. 4. Then it’s high time to download your mobile app: The new apps are incredibly intuitive, so let us quickly run over the main points just to give you the look and feel of mobile Wrike.The core of the app is the “magic button” that allows you to quickly switch between different views. All in all, there are five of them to address your main productivity needs: Stay on top of your tasks. The “To-do” gives you a perfect overview of your responsibilities, deadlines and important tasks across all projects. You can either focus on your own tasks or check the plan of a particular team member. Tip: Right swipe a task to mark it complete. Keep up with the project’s progress. Yeah, that’s our favorite – the Activity Stream, a digest of the latest news, task updates and discussions. Now you can keep your finger on the pulse of your team’s work whenever and wherever you want. Tip: To add a comment to any entry, tap on the corresponding update and then type your message. Take good care of your ideas. In the “Someday” view, you’ll find all the tasks without the start and due dates. It’s a perfect place to neatly organize all your ideas and “someday/maybe” plans. After you’re done with urgent tasks, open the “Someday” section and spend time on your backlogged tasks. Tip: When you need to add the due date, tap the task to open the task details, tap the “no date” icon in the upper right corner and choose the required due date. Make use of every second. The benefits of time-tracking are familiar to all information workers, but we’ve prepared a special bonus for our mobile app users: a “Timer” that counts the time you’re spending on a task. And don’t forget to leave a comment on your time entry so that you can easily recall the essence of your task later. Tip: To put the timer on, tap on the “+” at the bottom of your Time Tracker screen and choose to start tracking. Keep an eye on the “inactive” work. Don’t let “inactive” tasks disappear forever in the whirls of day-to-day work. The “Archived” view gives you quick and easy access to all completed, cancelled and deferred tasks. Though they are so different in nature, there are three “hot spots” that are common for all of them and remain on the screen at all times: 1) The huge “plus” button at the bottom of the screen that provides you with an easy way to create new tasks; 2) The “search” icon at the right-hand bottom corner that lets you find people, tasks and folders from any part of your mobile Wrike; 3) Filter options at the top of the screen that allow you to drill down to tasks placed in a certain folder or assigned to a certain team member.
