UK Businesses Are Struggling to Close Productivity Gap with Their European Counterparts

Over the last year, the number of IT tools and apps used at work has increased for nearly half of people working in offices across the UK, and the majority now juggle between three and six different types of desktop software, web applications, and mobile apps. This trend among UK workers however, falls well short of that seen among its Continental neighbours France and Germany, where adoption of digital tools has grown much more substantially. According to the Wrike Digital Work Report 2016, the number of apps being used in British businesses may be rising, but outdated work practices mean UK companies aren’t necessarily being more productive as a result. In addition, our report reveals that using more apps also correlates with greater stress level for nearly 70% of respondents. Organizations need to start paying attention to where their productivity is dipping, and using an operation efficiency formula to investigate how it can be improved. Digital working - blessing or curse? While half the UK respondents in the survey say apps and other IT tools help in performing tasks by making work easier and more efficient, in France and Germany these perceived benefits were much higher (77% and 64% respectively), perhaps reflecting their more enthusiastic uptake for IT solutions. Similarly, respondents across all three countries said that digital tools made it easier to work remotely and made access and sharing of information more reliable. However, for over a fifth of UK workers (22%), apps were said to hinder or be detrimental in helping perform work tasks. Overall, productivity levels among French and German workers has risen over the past year (by 53% and 47% respectively), compared with just 26% among UK workers. The fact that app adoption levels have not been so prolific and that the UK appears to lag behind the times when it comes to new ways of digital working might go some way towards explaining this disparity between rising productivity levels: Collaboration tools – which make it easier to work on projects together and have central access to information – are only used by 15% in the UK, compared to nearly a quarter in France (24%). Conferencing is used by 17% in the UK, but nearly three in ten in top-ranked Germany (28%). There is a similar picture for project management software (UK 17%, France 28%, Germany 25%.) Email is the biggest productivity zapper While email is still the most widely used IT tool by far, over a third of UK respondents say email curbed their productivity (37%). Too many ineffective meetings, having too many tasks to juggle and prioritise, and too much admin work were next in line as the major culprits affecting productivity. This survey shows how reliant the modern workplace has become on technology to manage everyday tasks, but also how much room for improvement there is in terms of how we use that technology to best effect. Our firm belief is that technology can only ever be part of the solution. Managers, especially in the UK, need to make sure their businesses are using the right tools for the job to help employees manage their tasks productively, without inadvertently adding unnecessary workload or stress. If these tools are used properly, they should make people more efficient; allowing them to do a better job, and ultimately help them feel confident in the knowledge that they can properly ‘switch off’ knowing nothing will fall between the cracks. The survey was conducted by OnePoll in August 2016 among 3,000 office workers, with 1,000 respondents each in the UK, France, and Germany.

In the task, right under the task description, click on the “Attach from Dropbox” link and choose the desired file. A built-in photo gallery and search function is particularly handy in finding the right file. Popular App Do.com Shuts Down Soon: How to Safely Migrate Tasks into Wrike

Customers and friends, you may have heard the recent announcement that the task management app Do.com is going to close soon. This software has been quite popular, so this news surprised us just like everyone else. To make things easier for everyone who relied on Do.com in their work, we took care to provide a transition option that will be both smooth and quick. Wrike developers have just built an importer specifically for Do.com tasks that simplifies the whole process to just a few clicks.Customers and friends, you may have heard the recent announcement that the task management app Do.com is going to close soon. This software has been quite popular, so this news surprised us just like everyone else. To make things easier for everyone who relied on Do.com in their work, we took care to provide a transition option that will be both smooth and quick. Wrike developers have just built an importer specifically for Do.com tasks that simplifies the whole process to just a few clicks. If there are active Do.com users amongst your colleagues and friends, please let them know that Wrike would be happy to accommodate their tasks and direct them to this post with the instructions below. Here are the easy steps for migrating tasks into Wrike. For new users who don't have a Wrike account yet Please, go directly to our Do.com import page: https://www.wrike.com/docom-import.htm. There, you can create a new Wrike account and launch the import in one click. For users who already signed up for Wrike If you already have an account in Wrike, you can import your Do.com tasks via a backup file. Please, follow these steps: In Do.com, use the new Export function to generate a file with your data (the file will have a .json extension). Please note, that the export feature is only available to admins and owners of Do.com accounts. When you login to Wrike, click on your Team's name in the left pane of the workspace (1). On the next screen, click on the Menu button marked with "…" in the middle pane (2). Choose Import -> Do.com from the dropdown menu (3). In the pop-up window, select the file you generated on Step 1. The import is now in progress. Just have a bit of patience – it can take a few minutes – and that's it! Then you can go straight to getting your tasks done.   In addition to the task info, your attached files, workspace and projects structure, tags and contacts will be safely imported, too. We've also taken care of your team. Other members of your Do.com account will get automatic invitations to Wrike. New in Wrike: Two-Way Sync with GitHub

With your projects and tasks in Wrike, it can be challenging to work with technical teams that use other systems like JIRA and GitHub. Limited visibility into what they’re doing makes it harder to manage the projects they’re involved in and you’re stuck communicating outside of Wrike, separate from where you and your team collaborate. Because we strive to keep you insanely productive, we recently released an integration with JIRA, and now we’re excited to announce our new integration with GitHub, also powered by Unito. Just as with JIRA, our integration with GitHub is a two-way sync, giving you unmatched access to the work that development teams are doing and enabling you to collaborate with them just as if they are right there in Wrike with you. The Power of Full Two-Way Sync Integrating different systems is essential, to ensure information isn’t stuck in one place. An integration can be as simple as exporting and importing data, or involve synchronization, which ensures information is always the same across systems. Then it’s high time to download your mobile app: The new apps are incredibly intuitive, so let us quickly run over the main points just to give you the look and feel of mobile Wrike.The core of the app is the “magic button” that allows you to quickly switch between different views. All in all, there are five of them to address your main productivity needs: Stay on top of your tasks. The “To-do” gives you a perfect overview of your responsibilities, deadlines and important tasks across all projects. You can either focus on your own tasks or check the plan of a particular team member. Tip: Right swipe a task to mark it complete.  Keep up with the project’s progress. Yeah, that’s our favorite – the Activity Stream, a digest of the latest news, task updates and discussions.  Now you can keep your finger on the pulse of your team’s work whenever and wherever you want. Tip: To add a comment to any entry, tap on the corresponding update and then type your message. Take good care of your ideas. After you’re done with urgent tasks, open the “Someday” section and spend time on your backlogged tasks. Tip: When you need to add the due date, tap the task to open the task details, tap the “no date” icon in the upper right corner and choose the required due date. Make use of every second. The benefits of time-tracking are familiar to all information workers, but we’ve prepared a special bonus for our mobile app users: a “Timer” that counts the time you’re spending on a task. And don’t forget to leave a comment on your time entry so that you can easily recall the essence of your task later. Tip: To put the timer on, tap on the “+” at the bottom of your Time Tracker screen and choose to start tracking.  Keep an eye on the “inactive” work. Don’t let “inactive” tasks disappear forever in the whirls of day-to-day work.  The “Archived” view gives you quick and easy access to all completed, cancelled and deferred tasks. Though they are so different in nature, there are three “hot spots” that are common for all of them and remain on the screen at all times: 1) The huge “plus” button at the bottom of the screen that provides you with an easy way to create new tasks; 2) The “search” icon at the right-hand bottom corner that lets you find people, tasks and folders from any part of your mobile Wrike; 3) Filter options at the top of the screen that allow you to drill down to tasks placed in a certain folder or assigned to a certain team member. Automations to Increase Project Management Productivity

When it comes to project management, productivity tools can be a lifesaver for your sanity and your bottom line. Platforms like Zapier allow you to automate a wide range of tasks by connecting one application to another and indicating what operation must be accomplished. These automations are called "zaps," and are composed of a trigger and a corresponding action. In this article, we'll look at a few zaps that agencies or consultants can use to save time when managing client projects. To get started, you'll need accounts with both Zapier and Wrike. Both services allow you to create free accounts, so you have nothing to lose. Once you're set up, you can try the following zaps:   1. Create New Clients For those that bill prior to beginning work with a client, you will want to create a zap where whenever a new client is created in FreshBooks (or any invoicing software supported by Zapier), a new client folder is automatically created in your Wrike account. Once you've connected both FreshBooks and Wrike accounts, you will be able to filter customers based on specific criteria if needed, and then match fields from FreshBooks to your new folder in Wrike. You can use multiple fields from FreshBooks to add in the optional description field for your Wrike folder.   After you've configured a zap, you get the option to test it and make sure it works. If everything is fine, click Continue, name the zap (make it unique), and activate it. 2. Review New Files Do your clients send you files using Dropbox, Google Drive, or other online filesharing apps? If so, create a zap that adds a new task to your client's folder as a reminder for you to review the new file.  First, you select your client's directory in Dropbox (or folder if you are using Google Drive). Then, you match fields from the Dropbox or Google Drive file to the new task in Wrike. I like to include the "direct media link" to the file in the description, making it quicker to access. After you've configured your zap, test it. As usual, click Continue, name the zap, and activate it. This zap will ultimately help you manage files you receive from multiple clients using multiple file sharing applications. 3. Manage Client Communications If you're not using a CRM, you can mimic the feature of tracking conversations related to your projects inside Wrike with a zap. Start by creating a Communications folder under your client's main folder. Next, add a zap that creates a new task in the Communications folder whenever you receive a new email from your client. Here's how to set it up if you use Gmail: Once you connect your Gmail account, set a filter to specify emails from your client. You can do that by using your client's email address (from:[email protected]) or by using the label that your client's emails are organized under (label:your client).  Next, turn your emails into Wrike tasks. You will need to match fields from your email to format the new task in Wrike. I like to match the title of the task to the subject line of the email, and the description of the task to the body of the email message. You can also add additional options for task type, importance, and assignees for those who should reply to the email. After you've configured the zap, test it. You will need an email from your client in your inbox — doesn't have to be new, but it does have to be in your inbox (unless you specified another location in the Mailbox or Tag Name field during setup). If everything works, click Continue, name the zap, and activate.   You can even expand the process further by creating new tasks in your client's Communication folder whenever your client sends a Twitter update. The setup is similar, except you start with a new tweet instead of a new email.  If you use Mention, you can also have any mentions of your client across social networks, forums, etc. added to your client's Communication folder. For those helping with reputation management, or who simply want to stay on top of the latest news about your client, the Mention zap will turn any new mention into a task that can be assigned to the appropriate member of your team for further action or review. 4. Simplify Task Management What if your client likes using another project management system, but you would prefer to keep everything in Wrike? That's not a problem. Let's say that your client uses Trello. You can create a zap that creates a new Wrike task in your client's project folder whenever you're assigned a new card in Trello.  You can set this up using any board you have access to in your Trello account. Just connect your Trello account, specify the board, list, and a custom filter to separate your assignments from other member's assignments. To get only your assignments you will need to filter by ID Member — you'll also need this number when you test your zap - but for now, just use your name. From here, you will match the Trello card fields with those for your new task in your client's project folder. Then click Continue and test your zap. Click on the "See trigger sample link" to find a card that has been assigned to you and scroll through to find your ID Member number. Go back up to that filter in Zapier and replace your name with your ID Member number. If everything works, click Continue, name the zap, and activate. You can set up similar zaps for clients using several other project management applications as well so no matter what programs your clients use, you can still keep track of all your tasks in Wrike. But Don't Stop There... I hope the zaps above have given you some ideas on how to use Zapier's automation to optimize your work within Wrike.
