Integration: How the sync works

The add-in automatically synchronizes emails marked for follow-up and tasks created in your Outlook 2003, Outlook 2007 or Outlook 2010 with your tasks in Wrike.

How the sync works (general rules):

  • If data was changed in one of the tools, Outlook or Wrike, the data is updated in the other tool as well. Exception: one-way synchronization.
  • If changes were simultaneously made in both tools, the data is updated in accordance with the priority settings.
  • If a task (or email) was deleted in one of the tools, Outlook or Wrike, the task is deleted in the other tool, regardless of priority settings.

How the sync works with Outlook Tasks:

  • Tasks created in Outlook are added to your Wrike workspace as new tasks assigned to you.
  • Tasks created in Wrike are added to your Outlook as new tasks.
  • Tasks updated in Outlook are updated in your Wrike workspace.
  • Tasks updated in Wrike are updated in your Outlook.
  • Tasks deleted in Outlook are deleted in your Wrike workspace.
  • Tasks deleted in Wrike are deleted in your Outlook.

How the sync works with emails marked for follow-up in Outlook:

  • Emails marked for follow-up in Outlook are added to your Wrike workspace as new tasks assigned to you. The email's subject becomes the task title, and the email's body becomes the task's description.
  • We cannot edit the content of your emails, so if the task is updated in Wrike, the email's subject and body are not changed in Outlook.
  • The tasks' status is the same as the follow-up flag of the email. If your email is marked as a to-do item, your task in Wrike is marked as active. If your email is marked as completed, your task in Wrike is marked as completed as well (and vice versa).
  • The tasks' priority is equal to the importance of the email in your Outlook. If the task's importance is updated in Wrike, the email's importance is updated in your Outlook (and vice versa).
  • Emails deleted in Outlook are deleted in your Wrike workspace.
  • If the to-do flag is removed from email, the task is deleted in your Wrike workspace.
  • Tasks deleted in Wrike are not deleted in your Outlook. If task is deleted in Wrike, the email's flag is cleared.

The add-in synchronizes emails with tasks in Wrike if you use a POP3 or Exchange account. IMAP accounts are not currently supported.
